This article describes the steps to import ILAC student data from EDMISS to HappyFox.
DATA Prep STEPS:
- Login to the EDMISS App
- Export the list of users by going to Students > Enrolments > Language Enrolments.
- Add/Remove the EDMISS columns from the Enrolment table before the search.
Here are the columns required for the export:

- On the General tab of Language Enrolments, set the period you would like to export the list (FROM and TO fields) as well as the location (delete TOR or VAN from the location field). Then click on Search.
- Once the search has finished, perform an Excel Merge (data export into an excel).
- Before the import, you need to edit the EDMISS exported excel file saved on your local computer. You are required to add a Name column to the excel file.
Auto-populate the Name column with the formula =CONCAT(D2," ",E2). There is a sample excel file attached to this article.
- After the excel is updated to contain only the columns required, save it in the CSV (Comma delimited)(*.csc) format.
IMPORT Data STEPS:
- Login to the HappyFox Portal using the HFadministrator ([email protected]) account.
- To import the EDMISS excel to HappyFox, go to Tickets > Contacts > Import Contacts. Select your CSV file, set NO to "Send account information email to contacts imported", and click on Upload.
NOTE:
- The imports may take a few hours depending on the amount of data.
- If a user already exists in the HappyFox contact information list, and it is also listed in the EDMISS export. The data import will overwrites the users' contact information that already exists in the HappyFox with the newest EDMISS export.
- Once you triggered the import wait for the system to finish it.
The report page shows you the progress of the report as well as lists the rows with errors and specifies the problem to be fixed on the next import.
